Key Responsibilities:

  • Program Administration: Oversees daily operations of CUSMX to ensure efficient, effective, and productive functioning across initiatives and research support.

  • Financial Management: Manages budgeting and financial operations in collaboration with the institute finance office. Responsibilities include annual budget planning, processing purchases, and managing reimbursements for the research team.

  • Event Planning & Execution: Coordinates with the events team to facilitate all aspects of CUSMX event logistics—from speaker invitations and travel arrangements to selecting vendors and executing workshops, conferences, and lectures.

  • Sponsored Research Support: Provides administrative assistance to researchers in the preparation and oversight of sponsored research proposals, including grant and contract post-award accounting.

  • Communications Oversight: Leads efforts for CUSMX-branded content, including website updates, digital communications, and promotional materials.

  • Outreach & Engagement Strategy: Designs and implements strategies for center outreach, social media management, podcast coordination, event planning, development, and partnerships, including oversight of Mexico Forum memberships.

  • Strategic Planning: Assists the director with strategic planning tasks and the analysis of center metrics to ensure alignment with institutional goals.

  • Human Resources Support: Aids in HR processes such as onboarding, intern management, and administrative staffing support.

  • Editorial Assistance: May contribute to the review of center publications and research materials.

  • Development Activities: Provides support in fundraising and donor engagement efforts.

  • General Administrative Duties: Completes all other tasks as needed to ensure the success of the center.


Minimum Requirements:

  • Bachelor Degree

  • At least 2 years of related administrative experience (or equivalent additional education in lieu of experience)

  • Strong written and verbal communication skills

  • Detail-oriented with excellent client service mindset

  • Proficiency in data analysis and management


Preferred Qualifications:

  • Bachelor degree in management, accounting, finance, political science, economics, or a related policy field

  • 3+ years of experience in higher education or a policy research organization, especially with U.S.-Mexico relations

  • Budget management and financial reporting experience

  • Familiarity with Blackbaud CRM and Oracle ERP systems

  • Proficiency in Spanish, particularly for written and verbal communication

  • Strong interest or background in U.S. foreign policy or international relations
