Job Responsibilities:
Maintain complex and highly detailed calendars for senior-level executives, ensuring smooth scheduling and coordination of daily activities.

Manage logistics for internal and external meetings, including scheduling, venue arrangements, and resource preparation.
Coordinate domestic and international travel, including flights, accommodations, and transportation, while ensuring itinerary accuracy.
Organize internal and external events, including handling catering, venues, and transportation to ensure seamless execution.
Process invoices and travel & expense (T&E) claims for team members in compliance with company policies and timelines.
Support onboarding and offboarding processes by coordinating equipment setup, system access, and related documentation for staff.
Draft and format high-quality emails and correspondence directed to internal stakeholders and external partners across all levels.
Maintain departmental documentation, including current organizational charts and Executive Biographies.
Proactively manage regular tasks, troubleshoot delays, and communicate any issues ahead of time to relevant stakeholders.
Assist in preparing and editing spreadsheets and presentation materials for client meetings, including printing and professional binding.
Required Qualifications, Capabilities, and Skills:
Minimum of five years experience in an administrative support role, preferably supporting senior-level executives.
Proven ability to stay highly organized while managing multiple responsibilities in a high-pressure environment.
Demonstrated discretion and good judgment when dealing with sensitive or confidential information.
Excellent interpersonal, verbal, and written communication skills, with a professional demeanor.
Proficiency in Microsoft Office applications including Outlook, Word, Excel, and PowerPoint.
Strong telephone etiquette and ability to manage calendar conflicts, meeting prioritization, and shifting schedules.
